The Procurement Department is the primary contact for vendors, contractors and service providers doing business with the City of Germantown. The goal is to seek out qualified businesses that can provide the City with the supplies, equipment and services at competitive prices.
The Department’s mission is to provide services by adding value and improvement in support of the City of Germantown in the areas of procurement, assets and risk. The Department strives to become an acknowledged leader among service providers, recognized for innovative, high quality and cost-effective approaches to meeting and exceeding customer expectations.
The Procurement Department’s direction focuses on communication, training, processes and transparency. City Purchasing Ordinance and Tennessee Statutes are used for the process of soliciting quotes, sealed bids or requests for proposals to ensure a fair and non-preferential system for making procurement decisions.
While price is certainly an important factor in the decision process, relevant information about service demands, delivery needs, brand specification, past performance and references is also considered. Procurement decisions are often based on a variety of factors that serve the best interests of the City of Germantown.
Vendor Registration
The City is now using Vendor Registry to register vendors for the City online, and eNotices to send a notification via email for the release of Bid, RFP, RFQ opportunities. Please use the links below to sign-up:
When registering as a vendor, vendors also must submit a W-9, agree to comply with the TN Iran Divestment Act and Bidder’s Certificate and will be required to use the City’s standard terms and conditions for purchases unless a separate contract is utilized.
Bid Opportunities
In an effort to ensure that all vendors are able to view current bid/RFP information, the Procurement Department uses this website and vendor registry to advertise any items over $25,000. Official bid notices are posted on the City's website and vendor registry on the Bid/RFP Opportunities page.
